Perform a quick search

Every page of the application, except the Portal Home page, includes the quick search box on the navigation bar. Use the quick search box to search documents, binders, fields, productions, assignments, cubes, and mines. You can also perform a document-specific search by content, all metadata and coding, and document ID.

Select options on the quick search menu to adjust your search. The permissions set by your administrator determine the search options that appear on this menu. With the exception of cubes, mines, and administrative features, when you select an option, the results appear on the Documents page. Results for cubes, mines, and administrative features appear on their respective pages.

Note: The first time you access the quick search menu, the Document Content option is selected by default. If you select additional options, your selections are saved for future quick searches.

After performing a quick search, you can view and work with the same search parameters on the Search page. Administrative features that allow you to manage items, such as binders, are also available for some search options.

To perform a quick search:

In the quick search box, type text, and then do one of the following:

Click a result that appears in the results list.

Press Enter to search by all options or by the previously selected options on the quick search menu.

To change the search options on the quick search menu, click the gear button to the right of the quick search box. For information about all available search options on this menu, see Quick search menu options.

Note: If you start typing in the quick search box and then change the quick search menu options, you might have to click outside the search box and back in to apply the change. The color codes represent search categories. With the exception of Document ID, Cube, and Mine, the quick search category colors correspond with the category colors on the Search page.

To perform a document search, do one of the following:

On the quick search menu, select one or more of the options.

Type text in the quick search box, and then click the document search (the first) item in the results list.

In the document search item, the Document Content, All Metadata and Coding, Document ID, and Produced Document Label and Produced Page Label options are represented by icons, which indicate a document search. Active document search icons appear in black. A search option is active if it is selected in the quick search menu.

If you have permissions to manage an item, click the Manage gear button.

You can change the properties or security for an item.

The following options are available on the quick search menu:

All Metadata and Coding

Use this option to search for document metadata and coding values. The items that the All Metadata and Coding field searches for include the following:

Note:  Selecting the All Metadata and Coding option searches all of the following fields. You cannot currently perform a quick search using each of the fields individually.

Document title

Pick list items

Text fields

Memo fields

People

Organizations

Document Content

Document ID

Universal ID

Use this option to search for specific entity IDs or document IDs in a data model.

Note: The name of the entity ID is case-sensitive.
