View a document
To view the contents of a document:
In the List pane, select a document.
Depending on the document content that you want to review, in the View pane, select from the following:
Note: The portal and case options, the application configuration, and permissions set by your administrator determine the available document views.
To view the text extracted from a document, with simple formatting applied, click the Formatted content button.
To view the text extracted from a document without any formatting, click the Unformatted content button.
To view a native document in the native file format of the original application that created the document, click the Native button.
To view a native document using Microsoft Office Online directly in the browser, click the Office Online viewer button. For more information about the Office Online viewer, see Review documents in the Office Online viewer.
To view the image or PDF files of a document, click the Image viewer button. For information about how to review the image and PDF files of a document, see Review documents in the Image viewer.
To watch or listen to video and audio files, click the Image viewer button. If available in your workspace, you can also click the Native button or the Office Online viewer button.
To view Bloomberg chat documents, click the Formatted content button or the Image viewer button. For more information about how to review chats, see Review Bloomberg chat documents.
Note: If a document includes hidden content, a warning icon appears on the View pane toolbar. For information about how to view hidden content, see View hidden content in a document.
To move through a document, scroll up or down.
To navigate between documents, on the main toolbar on the Documents page, click the Next Document or Previous Document arrows.
Tip: To view both an image and its associated OCR text, open the document in two View panes. You can view the image file in the Image viewer and view the OCR text in Formatted content view. Click a page link in Formatted content view to open the relevant page of the image file in the Image viewer.
View hidden content in a document
Some native files may include hidden content, such as tracked changes, hidden slides in a presentation, or hidden columns in a spreadsheet. Because this hidden content can be important to a case, you should make sure to review any hidden content in a document.
Depending on whether the Office Online viewer is enabled, you can view hidden content in a document in the following ways:
If the Office Online viewer is enabled, you can display hidden content in Microsoft Excel, Word, and PowerPoint documents directly in the Office Online viewer. You can display the following hidden content:
Microsoft Excel:
Hidden rows
Hidden columns
Hidden worksheets
Very hidden worksheets
Text that is the same color as the background
AutoFit rows
AutoFit columns
Microsoft Word:
Tracked changes
Inline comments
Hidden text
Resized tables
Microsoft PowerPoint:
Hidden slides
Note: Depending on your organization's license with Microsoft and the portal options that are configured by your administrator, you can view additional types of hidden content using the standard features in Microsoft Office Online.
If the Office Online viewer is not enabled, you can download the document, and then review the file with the relevant application on your computer.
To view hidden content in a document:
To search for documents that have hidden content, create a search that includes the [Meta] Office Exceptions Summary field or the [Meta] Office Exceptions field with the Has a value operator. For information about how to create a search, see Perform an advanced search.
Select a document.
In the View pane, a warning icon appears and indicates that the document contains hidden content.
To determine the type of hidden content that the document contains, hover over the warning icon on the View pane toolbar.
To view the hidden content, select from the following:
If the Office Online viewer is enabled, in the View pane, click the Office Online viewer button. Then click the Show hidden content button.
If the Office Online viewer is not enabled, in the View pane, click the Download button. Then, open the file with the relevant application on your computer.
Open documents in an additional workspace
You can view documents in separate browser windows by opening documents in an additional workspace. For example, if you use two monitors and want to review documents on an extended workspace, you can display the same document in multiple linked windows. As another example, you can display one document as a reference while you review and code other documents.
To open documents in an additional workspace:
In the List pane, hover over the row for a document.
The Options menu appears next to the document type icon.
On the Options menu, select from the following:
To open the document in a separate window that remains linked to the List pane, point to Open as linked workspace, and then click the workspace to open.
The document opens in a workspace in a new window. You can navigate between documents using the arrows at the top of either workspace. When you select a document in one workspace, the selected document becomes the active document in both workspaces.
To open the document in a separate window that has no link to the List pane, click Open as standalone, and then click the workspace to open.
The document opens in a new window. As you navigate between documents in the List pane, the document that appears in the standalone viewer remains unchanged.
