Work with mobile binders

Mobile binders are binders that users can download to their Apple iPad. Users access the mobile binders with the Mobile Binders app. After downloading the mobile binder, users can review key documents offline without access to the live application database.

This topic describes how to enable the Mobile Binders feature for a case, and how to set up a mobile binder for a user.

Requirements

Mobile Binders requires the following software:

iOS 9.0 or higher on the user's Apple iPad

Ringtail Web Services deployed on the Ringtail web server

(Recommended) Mobile device management tool to secure mobile devices

Enable mobile binders for a case

To enable the Mobile Binders feature for a case

On the Portal Home page, under Portal Management, click Settings.

On the Settings page, in Portal Options, provide the URL for Mobile Binders web service.

The Mobile Binders web service URL is set during the application installation. The URL must be in the format of either: https://servername/RingtailWebservices/ or http://servername/RingtailWebservices/

Return to the Portal Home page, and then click Cases and Servers.

On the Cases and Servers page, do the following:

On the Cases page, select a case.

On the Case Options page, select the Enable Mobile Binders check box.

Create a mobile binder

Use the following procedure to create a mobile binder for a case. After you create the mobile binder, copy its URL. You must provide this URL to users accessing the binder from their iPad device.

To add a new mobile binder, do the following:

Tip: You can configure an existing binder as a mobile binder. For steps to change a binder type, see Edit binder properties. Then, continue with the following steps.

On the Case Home page, under Case Setup, click Binders.

Click Add.

Type a name and description of the mobile binder.

Select the Mobile check box.

Click Save.

The new mobile binder appears with the mobile binder icon in the Binders list.

To copy the mobile binder URL, do the following:

In the Binders list, select a mobile binder.

On the Properties page, click Copy URL.

Press CTRL+C to copy the URL.

Click OK.

Paste the URL into an email and send it to the users who will access this binder.

Note: To add the binder to the app, users must enter this URL into the app.

To set group security for the mobile binder, on the Security page, select Allow and Mobile for the group that will access this binder. To download the mobile binder to the app, at least one of the user’s groups must have mobile permissions to the binder.

Download documents to iPad

Note: The application does not automatically synchronize documents to the iPad. If you add documents to the mobile binder after it has been downloaded by users, users must delete the binder on their iPad, and then download the binder again.

Users download documents from the application to their iPad using the Mobile Binders app. During download, the app disables the iPad’s Sleep mode. If a user closes the Mobile Binders app or opens a different app during a download, the download will pause. The download resumes when the user reopens the Mobile Binders app.

To download documents to an iPad, users must do the following:

Set a passcode or Touch ID on their iPad.

Enter the mobile binder URL into the Mobile Binders iPad app.

Provide an application user name and password to access the case.

Have group access rights to the mobile binder.

Keep the Mobile Binders app open while downloading documents.

Note: To maintain battery life, users should always keep the iPad plugged into a computer or charger when downloading.

Get a report of downloaded mobile binders

To generate a report showing users who have downloaded mobile binders:

On the Case Home page, under Case Setup, click Binders.

Select the check box next to one or more mobile binders, and then click Download report.

Select one of the following options:

Last download per user/binder: Reports the last download for each user of the selected binders.

Complete activity report for the binder: Reports all downloads by all users of the selected binders.

To view the report, use Microsoft Excel.
