Work with People Identity (names normalization)

The People Identity feature, also known as names normalization, is available on the Case Setup > People Identity page.

Note: Case administrators have access to this feature by default. To grant group leaders access to this feature, you must enable it on the Case Setup > Administration page. You must set permissions for group leaders to Allow for People/Organizations on the Security > Objects > Document Fields page. To grant group leaders access to the Communication Network pane, set permission to Allow for the Communication network feature on the Security > Features page.

This feature allows administrators and group leaders to link an individual person’s various people names, such as email addresses and user names, to an identity.

For example, if John Doe is associated with the following people names in Nuix Discover, an administrator (or group leader with access to this feature) can consolidate these email addresses and names into a single identity.

Tip: Among other benefits, this feature is especially helpful when creating a privilege log, because the normalized identity name can be used instead of the non-normalized people names.

Using the People Identity feature, you can: 

Run a Normalize job to create identities and link non-normalized people names 

Note: You can use the Normalize feature on the Case Setup > People Identity page on new, non-normalized people names in a case.

Assign (or reassign) people to an identity

Note: You can use the Assign identity feature to change the connections between people and identities.

Manage roles

Case administrators can create and modify roles to assign to identities. 

To create or modify a role:

On the Case Setup > People Identity page, on the toolbar, click Manage Roles.

The Manage roles window displays all existing roles.

To add a new role, enter the role name in the New role text box and click Add.

To edit the name of an existing role, double-click on the role name in the list on the People Identity page and enter your changes.

To delete a role, click Remove

Note: You cannot delete roles that are assigned to any identities.

Assign a role to an identity

To assign a role to an identity, first ensure that you have Write permissions to the Identity Role field. This field is located on the Case Setup > Data Models > System > Entities > Identity > Fields > Identity Role page.

Note: You must assign roles to identities individually. The ability to assign a role to multiple identities at once will be available in a future release.

To assign roles to identities:

On the Case Setup > People Identity page, on either the Normalized or the All tab, click in the Role column for the identity that you want to assign a role.

Select from the list of available roles.

You can assign roles to People Identities using the Assign role button.

To assign roles to identities:

On the Case Setup > People Identity page, select the identities you want to assign roles to.

Note: You cannot assign roles to identities on the Non-Normalized tab.

Click the Assign role button at the top of the screen.

 In the Assign role window, select a role to assign to the people identity.

Click OK.

Import people and identities

You can import multiple people, identities, and roles from a CSV file. This functionality allows you to make updates to existing assignments for people, identities, and roles, or to add new ones.

To import people and identities using a CSV file:

On the Case Home > Case Setup > People Identity page, click Import.

On the Source tab, click Browse to locate and choose a CSV file containing people and identities to import.

Note: To create your own .csv file, click Download template to download a CSV template that you can populate with the people and identities you want to import.

Click Next.

On the Select People tab, click the boxes next to the names of the people you want to import.

 Click Next.

On the Resolve Identity Conflicts tab, resolve any conflicts between the identities you are importing and identities that already exist in the case.

 Click Next.

On the Resolve Role Conflicts tab, resolve any conflicts between the roles you are importing and roles that already exist in the case.

Click Next.

On the Summary tab, review a summary of the new and updated people, identities, and roles created by the CSV you are uploading. 

Click OK to complete the import.
