Create image files of documents
You can create image files of documents using the imaging feature. The imaging feature replaces the TIFF-on-the-Fly feature.
If you create an image file using the imaging feature, you can reverse the imaging process. For more information, see Reverse previously imaged documents.
To create image files of documents:
In the List pane, select the check box next to the documents that you want to create image files of.
On the Tools menu, select Imaging.
On the Properties page, do the following:
If Prepare for manual imaging is selected, clear the check box.
In the Image type list, select an image type for the imaging output, such as TIFF, JPG, or PDF.
If you select the TIFF option, you can choose to auto-detect color and render the images to JPG format. Select Auto-detect color and render to JPG at the bottom of the page.
Note: The default value for the option is based on the Imaging settings found in Manage Documents > Imaging - Automated > Settings.
Optionally, in the Comments box, type additional information to be displayed with your job.
Click Next.
On the Exclusions page, the documents that you selected for imaging are sorted by the number of documents that will be submitted for imaging and the number of documents that will not be submitted.
Note: A single document may be counted under multiple categories in either the Optional inclusions area or the Documents that must be excluded area. Documents that are counted in any of the categories in the Documents that must be excluded area are not counted in the Optional inclusions area.
Do the following:
In the Optional inclusions area, you can choose to image documents that would not be imaged by default. To include documents that would otherwise be excluded from the imaging job, select any of the following check boxes:
Spreadsheet file type: The file extension of the documents is .123, .numbers, .xls, .xlsx, .xlt, .xlsb, .xlsm, or .csv.
PDF file type: Documents have the .pdf file extension in the main_pages table. This option appears only when the Enable PDF annotations case option is enabled.
Note: XFA PDF files are not supported.
Locked in a production: The documents are in a locked production to which your group has at least read access.
Corrupted: The documents have a value of Corrupted in the [Meta] Processing Exceptions field.
Encrypted: The documents have a value of Encrypted in the [Meta] Processing Exceptions field.
Empty (0 KB): The documents have a file size of 0 KB.
Multiple tiff or jpg pages: The documents consist of multi-page .tiff or .jpg files. You can only image these types of documents if the selected output format is PDF.
In the Documents that must be excluded area, you can view documents that are not included in the imaging job. Click a number to see the list of documents.
The following types of documents are excluded from imaging jobs:
Includes annotations: The documents have one or more annotations to which your group has at least read access.
Already submitted for imaging: The Imaging Status field value is either Submitted or Processing, or the [TOF] Image Request ID field has a value but the [TOF] Image Request field does not.
Already imaged: The Imaging Status field value is either Completed or Completed with Warnings, or the [TOF] Image Request ID field has a value and the [TOF] Image Request field also has a value.
Access denied: The documents are in a locked production to which you do not have access, or the documents have one or more annotations to which you do not have access.
Has multiple pages: The documents contain multiple files that appear in the Image viewer in the View pane.
Click Finish.
The application converts the files that are displayed in the Image viewer to the image type that you specified. The resulting files replace the original files in the Image viewer.
Reverse previously imaged documents
If a document is imaged using the imaging feature, you can reverse the imaging process. When you reverse an image, the application does the following:
Replaces the Image viewer images in the View pane with the files that existed prior to imaging.
Deletes the images that are generated during imaging.
Removes the fields that are populated during imaging.
Populates the Imaging Reversal ID field with the Job ID of the reversal job.
Note: In locked productions, you cannot reverse image a document if one or more pages in the document is linked to a rendition page.
To reverse imaged documents:
In the List pane, select the check box next to the documents that you want to reverse imaging for.
Note: You can reverse imaging only for documents that were previously imaged.
On the Tools menu, select Reverse previous imaging.
On the Properties page, do the following:
Optionally, in the Comments box, type additional information to display with your reverse imaging job.
Click Next.
On the Exclusions page, the application sorts the documents that you select for reversal by the number of documents that will be submitted for reversal and the number of documents that will not be submitted. In the Documents that must be excluded area, you can click a number to see the list of documents.
The application excludes the following types of documents from reversal jobs:
Has not been imaged: The selected documents have not been imaged, or the Imaging Status field value is either Submitted or Processing, or the [TOF] Image Request ID field has a value but the [TOF] Image Request field does not.
Includes annotations: The documents have one or more annotations to which your group has at least read access.
Access denied: The images are in a locked production to which you do not have access, or the images have one or more annotations to which you do not have access.
Locked in a production: The images are in a locked production to which your group has at least read access.
Click Finish.
The application converts the image files that appear in the Image viewer back into their original format. The original files replace the images in the Image viewer.
The application also deletes the images and imaging field values that were generated, and populates the Imaging Reversal ID field.
