Code document fields in the Code pane

To code a document, you add or update a value in each of the coding fields that apply to the document. Coding fields include information such as the document title, date, custodian, responsiveness, and so on.

You can perform the following tasks to code document fields in the Code pane:

Code a single document

Code multiple documents

A case or review phase might require you to code certain fields. To facilitate this, your administrator can create a coding template that contains the required fields. You can also ask your administrator to create a coding template if you find that you frequently search for the same fields.

Your case lead or administrator configures the available coding fields.

Code a single document

You can code a document by entering or modifying values in the document's coding fields.

If your administrator creates traditional coding templates for a case, or if your case does not include the use of any coding templates, you code individual documents in the Code pane.

Tip: You can also edit the values of some fields directly in the List pane. To do this, double-click a field value. Fields that can be coded directly in the List pane appear with an icon in the column heading.

To speed up the document coding process, you can use keyboard shortcuts instead of the mouse. For information about the available keyboard shortcuts, see Keyboard shortcuts.

To code a single document in the Code pane:

Select the document that you want to code.

In the Code pane, click the Code single document button.

By default, all coding fields that have a value appear. To display a specific traditional coding template, on the All Values menu, click a template name.

To edit the value of a coding field, click the value. Enter a value, and then click outside the field.

You can code fields that have a triangle in the corner. An asterisk indicates that a value is mandatory.

Tip: To undo a recent coding change, right-click a field that has a green triangle in the corner, and then click Undo.

To code additional values to a field, click the Add value button (plus sign) next to a coding field icon, and then enter a value. You can code multiple values to fields that have a plus sign.

Code multiple documents

You can code multiple documents with the same coding values.

The permissions set by your administrator determine access to this feature.

To code multiple documents with the same value:

Select the documents that you want to code.

In the Code pane, click the Code multiple documents button.

Depending on the fields that you want to code, select from the following:

To code fields on a specific coding template, click Templates. On the Templates menu, click a template name.

To search for a coding field, click Fields. In the Find box, type the field name, and then click Find.

To display a specific type of field, click Fields. Click Filter, and then select the check box next to the field type. Click Find.

Tip: To clear all of the check boxes, click All.

To display all coding fields, click Fields, and then click Find.

Click the Coding Options button for the field that you want to code.

To code the field value to the source documents and attachments of the selected documents, select the Include Source/Attachments check box.

Select from the following coding options:

Note: Depending on the type of field you are coding, the options may vary.

Add: For fields that can have one value, adds a value to documents that do not currently have a value. For fields that can have multiple values, adds an additional value to the field. In the New Value box, provide the value to code.

Update: Updates the existing field value for the documents. In the New Value box, provide the value to code. Optionally, to update a specific field value, select the Replace Specific Value check box, and then provide the value to replace.

Note: The Apply Value to Selected Documents (lightning bolt) button performs the same coding as a combination of Add and Update.

Delete: Removes the field value from the documents. Optionally, to delete a specific value, select the Delete Specific Value check box, and then provide the value to delete.

Click Submit, and then click Close.
