Convert highlights and redactions

You can convert highlights into redactions, or convert redactions into highlights. You can also change the annotation color and redaction type.

Because you can convert highlights and redactions, consider using both types of annotations in your review strategy. For example, reviewers can apply highlights to sensitive content while they review documents, and then a review lead can convert the highlights to redactions before producing the document and delivering it to a third party.

You can convert highlights and redactions in the following ways:

Convert all highlights or redactions

The permissions set by your administrator determine access to this feature.

Convert specific highlights or redactions in a document

You can convert specific highlights or redactions on a document page into another type of annotation. You can also change the color of highlights or redactions. The conversion applies to all selected highlights on the active document page.

Tip: To speed up the document annotation process, you can use keyboard shortcuts instead of the mouse. For information about the available keyboard shortcuts, see Keyboard shortcuts.

To convert specific highlights or redactions in a document:

Select a document.

In the View pane, click the Image viewer button.

On the Image viewer navigation bar, click the Pointer/Select button.

Note: The Image viewer navigation bar is disabled for files that cannot be annotated.

Select the highlight or redaction that you want to convert. To select multiple highlights and redactions, press Ctrl and click additional annotations.

On the Image viewer toolbar, click the Convert annotations button, and then select from the following:

To convert an annotation into a highlight, select Highlight. In the list, select the highlight color.

To convert an annotation into a redaction, select Redaction. Optionally, select the color of the redaction. Then, select a redaction in the list.

To convert annotations on additional pages of the document, navigate through the pages of the document, and then repeat the previous steps.

Convert all highlights or redactions

You can convert all highlights or redactions in one or more documents into another type of annotation. You can also change the color of highlights or redactions. The conversion applies to all highlights or redactions of the selected type in all selected documents.

To convert all highlights or redactions in a document:

In the List pane, select the check box next to the documents that contain the highlights or redactions that you want to convert.

Tip: To identify documents that have highlights or redactions, add the Highlight and Redaction columns to the List pane. For information about how to add columns to the List pane, see Configure columns in the List pane.

On the Tools menu, select Convert page annotations.

Select the check box next to the types of highlights and redactions that you want to convert.

Select which user's annotations you want to convert:

To convert highlights or redactions that you added, select Convert my annotations.

To convert highlights or redactions that were added by all users, select Convert all annotations. Optionally, you can change the name that is associated with the annotations to your own name. To do this, select the Take ownership check box.

In the Convert to list, select from the following:

To convert all selected annotations to highlights, click Highlight. Then, select the Label of the highlight.

To convert all selected annotations to redactions, click Redaction. Then, select the Name and Color of the redaction.

Click OK.

To view the updated highlights or redactions in the View pane, refresh the pane.
