Display keyword highlights

Keyword highlights make it easier for you to see content that may be important for a review. For example, keyword highlights on the name of a law firm might help you determine that a document is privileged work product. As another example, you can use keyword highlights to identify content that needs to be redacted.

When you are reviewing a document, you can display highlights over keyword hits and search results. You can also conduct an ad hoc content search for words or phrases in a document while you are viewing the document, and display highlights on the results.

You can display highlights for the following types of words or phrases:

Search terms that are contained in search term families.

If your administrator or review lead designates the search terms as keywords, the keyword hits are highlighted by default and the number of keyword hits appears in the Keyword Hits column in the List pane.

Phrases that you search for on the Search page using a search that includes the Document Content field.

The number of content hits appears in the Content hits column in the List pane.

Phrases that you search for in the View pane using the Find term box.

Phrases that you search for in the Browse pane. For more information about searching for content hits using the Browse pane, see Select and filter documents by content.

View keyword highlights

You can display highlights over the keyword hits in a document, such as the search terms in search term families.

Your administrator or review lead creates search term families and determines the words or phrases to include in the search term families. For information about how to create search term families, see Work with search term families.

To view keyword highlights:

Select a document.

In the View pane, select from the following:

To view the text extracted from the document with simple formatting applied, click the Formatted content button.

To view the text extracted from the document without any formatting, click the Unformatted content button.

Click the Keyword highlights button.

A list of the available search term families appears.

To view keyword highlights for the terms in a search term family, select the check box next to a search term family.

The number of keyword hits for each search term family in the document appears in the Count column in the View pane.

If the terms in the search term family are designated as keywords, the number of keyword hits also appears in the Keyword Hits column in the List pane. For more information about the columns in the List pane, see Review documents in the List pane.

To view the search term families that a keyword is responsive to, hover over a keyword highlight.

Note: If a word is responsive to both an ad hoc content search and a search term family, the word is highlighted with the color of the ad hoc content search results.

To navigate between keyword highlights in the document, click the Next hit or Previous hit buttons on the View pane toolbar.

Conduct ad hoc content searches

When you are reviewing a document, you can search the content of the document for your own words or phrases, and then display highlights over the results. This allows you to refine any set of search results, beyond the keywords that are included in the search term families that are configured by your administrator.

Note: The ad hoc content search feature in the View pane is different from the Find feature in the Browse pane. The ad hoc content search feature in the View pane searches for content hits in the active document, and then highlights any content hits in the active document. The Find feature in the Browse pane searches for content hits in all documents in the List pane, and then selects documents that contain the content hit. To conduct an ad hoc content search:

Select a document.

In the View pane, select from the following:

To view the text extracted from the document with simple formatting applied, click the Formatted content button.

To view the text extracted from the document without any formatting, click the Unformatted content button.

Click the Keyword highlights button.

In the Find term box, type the word or phrase that you want to search for. For information about how to refine your search query using search operators, see Document Content search operators.

Press Enter.

The content search results are highlighted in the document. The results remain highlighted as you navigate from document to document, until you clear the Find term box.

To navigate between content search results in the document, click the Next hit or Previous hit buttons on the View pane toolbar.

Turn keyword highlights on or off

When you view keyword highlights in a document, by default, highlights appear on all of the keywords from all of the search term families that are available for the case. If you conduct an ad hoc content search, the search results are also highlighted.

You can turn the keyword highlights off or on. Turning keyword highlights off can be helpful when you want to identify the relevant keywords or search term family hits for a document. If you turn keyword highlighting on or off, your settings are saved as you navigate from document to document.

To display or hide keyword highlights on documents:

Select a document.

In the View pane, select from the following:

To view the text extracted from the document with simple formatting applied, click the Formatted content button.

To view the text extracted from the document without any formatting, click the Unformatted content button.

Click the Keyword highlights button.

A list of the available search term families appears.

To display or hide highlights for the search terms in a search term family, select from the following:

To display highlights, select the check box next to the search term family.

To hide the highlights, clear the check box next to the search term family.

To clear an ad hoc content search and remove the highlights on the search results, click the Remove value button (X) next to the ad hoc content search query.
